As part of any recruitment process, Demelza Hospice Care for Children ("Demelza") uses the services of a third-party recruitment platform. By submitting an application, your data will be processed using this platform.
Demelza is committed to meeting its data protection obligations and this notice summarises the personal data that we collect and process for any applicants.
Unless otherwise stated, references to “Demelza” within this procedure include Oastview by Demelza Ltd. The requirements, responsibilities and standards set out in this document apply equally across both organisations.

What information does Demelza collect?
Demelza collects a range of information about you. This includes:
- your name, address and contact details, including email address and telephone number;
- details of your qualifications, skills, experience and employment history;
- information about your current level of remuneration, including benefit entitlements;
- whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process; and
- information about your entitlement to work in the UK.
Demelza may collect this information in a variety of ways. For example, data might be contained in application forms, obtained from your passport or other identity documents, or collected through interviews or other forms of assessment.
Demelza may also collect personal data about you from third parties, such as references supplied by former employers and information from criminal records checks for relevant roles. Demelza will seek information from third parties only once a job offer to you has been made and will inform you that it is doing so.
Data will be stored in a range of different places, including on your application record, in HR management systems and on other IT systems (including email).
Why does Demelza process personal data?
Demelza needs to process data to undertake processes, such as shortlisting and interviews, prior to entering into a contract with you. Demelza may also need to process your data to enter into a contract with you.
In some cases, Demelza needs to process data to ensure that it is complying with its legal obligations. For example, it is required to check a successful applicant's eligibility to work in the UK before employment starts.
Demelza has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows Demelza to manage the recruitment process, assess and confirm a candidate's suitability for employment and decide to whom to offer a job. Demelza may also need to process data from job applicants to respond to and defend against legal claims.
Demelza may process special categories of data, such as information about ethnic origin, sexual orientation or religion or belief, to monitor recruitment statistics. It may also collect information about whether or not applicants are disabled to make reasonable adjustments for candidates who have a disability. Demelza processes such information to carry out its obligations and exercise specific rights in relation to employment.
For some roles, Demelza is obliged to seek information about criminal convictions and offences. Where the organisation seeks this information, it does so because it is necessary for it to carry out its obligations and exercise specific rights in relation to employment.
Demelza processes such information to carry out its obligations and as permitted under GDPR article 9.2g and Data Protection Act 2018 schedule 1 part 2, 11.
The organisation will not use your data for any purpose other than the recruitment exercise for which you have applied.
Who has access to data?
Your data is hosted on a third-party platform. As a SaaS or Cloud provider, they will host the data but have no reason to use the data nor will they have any ongoing access to the information that you upload.
Your information may be shared internally for the purposes of the recruitment exercise. This includes members of the HR team, interviewers involved in the recruitment process, managers or individuals in the business area with a vacancy and IT employees if access to the data is necessary for the performance of their roles.
If you application is successful, then your data will be further processed as explained in our Employee Privacy Policy, which will be shared with you at the time of your appointment.
As would be common in any recruitment process, Demelza may share your details in the completion of the reference checks or with employment background check providers to obtain necessary background checks and the Disclosure and Barring Service to obtain necessary criminal records checks.
